Holiday Closure Notices by Email, WhatsApp and Phone: A Setup Guide

To send a holiday closure notice to customers, write one dated notice for each channel. The email gives the full closure dates, the reopening time and an out-of-hours contact. The WhatsApp message is a pre-approved template sent to customers you already work with. The phone script is short and matches the same dates. Load the dates and contacts into one sheet, schedule the sends a week or more before the closure, switch on an out-of-hours reply on every channel, and record each delivery. A person reads the replies during the closure and handles anything about an order, a complaint or a refund. Automation does the sending and the record keeping. It does not decide what an urgent customer needs.

In short

  • Keep all closure dates in one table, and let every channel draw from it.
  • WhatsApp messages outside the 24-hour window must be approved templates, and a notice that mixes in promotion is billed as marketing.
  • Keep email notices to closure information, with dates at the top.
  • Log every send and delivery status so you know exactly who was reached.
  • A person reviews replies about orders, complaints and refunds before anyone answers.

Why a missed closure notice costs money

The cost of a poor closure notice is rarely the notice itself. It shows up as phone calls and messages that land on a day nobody is working, as customers who wait a week for a reply they expected sooner, and as staff who spend part of their return day answering the same question over and over. The sources reviewed for this guide do not give a reliable public figure for how many holiday enquiries are lost, so this guide does not put a percentage on it.

You can estimate your own exposure. Take the number of enquiries you received on an ordinary closed day, such as a Sunday, and multiply it by the average value of a customer order or booking. Do this for each closure in the year. The result is a rough weekly figure you can compare with the time it takes to set up the notice properly. Keep the basis of the estimate in your notes so you can explain it later.

A clear notice also reduces the load on your team. A public-sector example shows the pattern: a customer service centre lists each closure date, states the day normal hours resume, and gives a route for urgent matters. Your notice can follow the same logic: the dates, the return time and the one channel that still works.

The manual way and the automated way

Most businesses send closure notices by hand. One person copies the dates into an email, posts a banner, and tries to remember who was told. That works for a handful of customers. It breaks down when the list grows, when several channels are in use, or when the closure falls over a weekend and nobody is watching the inbox.

How to set it up, step by step

  1. Build one contact sheet in Google Sheets or Microsoft Excel, or in the CRM or ERP you already use. Each row holds a customer, the channel they prefer, the email address and WhatsApp number, whether they have an open order or booking, and the date of their last message to you.
  2. Write the dates once in a single table: closure start, closure end, reopening time, the urgent contact and the time zone. Every notice pulls from this table, so a date change happens in one place.
  3. Write three notice sets from that table: a full email, a short WhatsApp message and a phone greeting or script. An LLM such as those from OpenAI or Anthropic can produce first drafts from your table. A person must check every date before the text goes live.
  4. Submit the WhatsApp template for approval through a WhatsApp Business Solution Provider that connects to the WhatsApp Business Platform. Choose the category carefully, because the category decides the fee and the approval path. Keep the template plain, with no emojis in the header or footer.
  5. Send the email through your existing email platform or a mail-merge tool, using the same dates. Keep the closure text at the start of the message. Do not add promotions to the same email.
  6. Schedule the sends. A first notice a week or more ahead gives customers time to plan, and a reminder on the last working day before the closure catches those who missed the first one. Schedule the sends in the time zone of the customer, not the head office, if your customers are spread across regions.
  7. Switch on the out-of-hours fallbacks. Set an email auto-reply that names the return date. Set the WhatsApp away message to give the same dates and urgent route. On the phone, use a recorded greeting or a menu that states the closure dates before the caller reaches a voicemail.
  8. Log every send. Record the customer ID, channel, notice version, time sent, delivery status from the provider, whether the message was read or answered, and the date of any reply. Most WhatsApp providers return delivery status updates, which can feed the log automatically.
  9. Route replies to a named person. The LLM can sort replies into groups such as order question, complaint, refund and general thanks. A person reads each urgent or money-related reply, and a person approves any answer that gives a delivery date or a refund.

What breaks and how to prevent it

The most common failure is a wrong date. A single table prevents most of them, but only if the sends are locked after a second person checks the dates. Build a short check into the process: read the dates in the email, the template and the phone greeting against the table, and check the time zone of the reopening.

WhatsApp templates can be rejected or paused. Meta reviews templates before they are used, and a template can be disabled if its quality rating falls because customers block or report it. Keep the text specific to the closure, use variables in the right order, and do not mix a notice with a sales message. Approval times vary, so submit templates weeks ahead, not on the day before the closure.

A holiday email can be mistaken for marketing. Keep the email to closure information. Do not add offers, newsletter content or product promotions. If you do, the message may fall under commercial email rules, which bring more obligations.

Auto-replies can cause confusion if they give the wrong return day, or if they point to a mailbox that nobody reads during the closure. Test each auto-reply yourself the day before the closure starts. Confirm that the urgent route reaches a real person who is on duty.

Duplicate sends happen when a schedule is re-run after a fix. Keep one schedule, mark each send with a version number, and check the log before you re-send anything. If the closure is announced late or the dates change, send one correction to every channel and update the website the same day.

The rules to check before you send

For email, the United States rules in the CAN-SPAM Act treat messages that confirm or complete a transaction the customer has already agreed to as transactional or relationship messages. These are largely exempt from the Act's requirements, but they must not carry false or misleading routing information. The FTC's compliance guide also says a message can turn commercial if most of its content is promotional or if the transactional part does not appear near the start. Other countries have their own email and consent rules, so check the regulator in each market where your customers are.

For WhatsApp, Meta's messaging policy says that outside the 24-hour customer service window you may only message a customer with an approved template. Inside that window, you can reply without one. A template that mixes a closure notice with a promotion is classified as marketing, and customers can switch off marketing templates from a business in their settings. For that reason, send WhatsApp closure notices only to customers with an open order, booking or recent conversation where a closure notice is a natural service message.

This explains the rule in general terms; it is not legal or tax advice for your case.

What it costs to run, and where the fees sit

The WhatsApp Business app is free for manual one-to-one replies. The WhatsApp Business Platform has no licence fee, but Meta charges for each message delivered, and the rate depends on the message category and the recipient's country. Meta's own notes say that from 1 October 2026 each business message is charged, including service messages that are not templates. Check Meta's rate card for the recipient's country before you budget, and add any fee from your provider. A closure notice to a few hundred customers costs little, but the figure depends on your country mix and your category choices, so the rate card is the only reliable source.

When not to automate

Do not automate when the list is very small. If you have ten clients who need a call, a phone call or a personal email is faster and more accurate than a template. Do not automate when the closure affects individual timelines, such as a project with a delivery date that moves. Those customers need a named person to call them with a date for their own order. Do not automate when a contract sets its own notice period for service changes. In that case, follow the contract and check the notice terms with a lawyer.

There is one hard limit. The system cannot know that a customer's order is urgent unless the order data is connected and kept current. It also cannot judge tone. A message from an angry customer about a missed delivery needs a person, not a template reply. The automation sends the notices, records them and sorts the replies. The owner decides the dates, approves the templates and handles anything that involves money, a complaint or a promise.

What it typically takes

Plan for time rather than money. The first setup takes a few working days for one person who knows the customer list, the order system and the email platform. Most of that time goes on cleaning the contact sheet, mapping the channels and waiting for WhatsApp template approval. Each closure after that is mostly a change to the dates table, a check of the scheduled sends and a review of the replies during the closure. Once the setup is working, the time spent on each closure falls to a short review. The first closure is always the slowest, so run it on a quiet period rather than the busiest week of the year.

How AiStaffo would automate this

AiStaffo would connect your contact sheet or CRM to the email platform, the WhatsApp Business Platform through an approved provider, and your phone greeting, all drawing from one dates table. The system would schedule the notices, switch on the out-of-hours replies, and write every send and delivery status to a log. It would sort incoming replies into groups for review. The owner still approves the dates, the templates and the wording, and a named person reads and answers any reply about an order, a complaint or money. Questions people ask

Can I send a holiday closure notice on WhatsApp to customers who have never messaged me?
Usually only as an approved template. Meta's messaging policy allows business-initiated messages outside the 24-hour customer service window only through approved templates. Check whether the template is categorised as utility or marketing, because a notice that mixes in promotion is billed as marketing.
Is the free WhatsApp Business app enough for closure notices?
It can work for a small team sending manual replies one at a time. For scheduled notices, templates and a log of delivery status, you need the WhatsApp Business Platform through an approved provider. Meta does not charge for messages sent, only for messages delivered, so check the rate for your customers' countries.
How far ahead should I send a holiday notice?
The sources reviewed do not set a standard lead time for ordinary closures. Send the first notice early enough for customers to plan around it, then send a reminder just before the closure. Keep the same dates on your website and in your auto-replies.
Do holiday emails need an unsubscribe link?
Under the United States CAN-SPAM Act, messages that are purely transactional or relationship in content are largely exempt from most requirements, but they must not carry misleading routing information. Other countries have their own rules, so check the regulator where your customers are. This explains the rule in general terms; it is not legal or tax advice for your case.
Can AI write the closure notices and answer replies?
An LLM can draft notices and sort replies into groups. A person should check every date before a notice is sent, and a person should approve any reply that gives a delivery date, a refund or a promise. AI drafts do not replace that review.
What if the closure dates change after I have sent the notice?
Send one correction through every channel that received the original notice, using the same dates table as the source. Update your website and auto-replies the same day. Log the correction so you can see who received the change.
