  1. 1

    Audit

We spend a short session looking at how work actually moves through your business, and where hours are lost to typing, chasing and re-checking.

  2. 2

    Map

Every repeatable process is written down step by step: who starts it, what data it needs, what decision is made, what leaves.

  3. 3

    Build

We connect the tools you already use and put the AI worker in the middle. It reads, files, replies, reconciles and reports on its own.

  4. 4

    Run

The automation runs every day, watched. Exceptions come to a person; everything routine does not.

  5. 5

    Support

We keep it running as your business changes: new staff, new tools, new rules. You never maintain it yourself.

What we do, in one line

We take the routine work that keeps your staff busy all day, make it run on its own, and let you run the business with fewer people.

Why it pays: what a back-office employee really costs

A salary is only the start. Add social security or pension contributions, insurance, paid annual leave, sick days, public holidays, and maternity and parental leave that can run for months while the role still has to be covered. Add hiring, training, notice periods, and the HR and compliance file every employee brings. The all-in cost of one routine role is usually one and a half times its salary.

And that buys about 40 hours a week: roughly 1,800 productive hours a year after leave and holidays, slower and less accurate late in the day, stopped overnight and at weekends. When someone leaves, their knowledge leaves with them and the replacement takes months to be useful.

None of this is a criticism of good staff. It is simply what employing people for repetitive work costs, and why so much of that work is now moving to AI workers.

What an AI worker gives you instead

Available every hour of every day, at the same speed and accuracy at midnight as at midday. No leave, no resignations, no retraining. Follows the process exactly as agreed; when something is unusual, it pauses and asks a person instead of guessing. No contributions, no notice period, no compliance file. A fixed monthly fee that stays the same whether volume doubles or halves.

The saving

For most businesses this is the single largest saving available, and it grows with the size of the operation. The routine share of the back office, usually the work of several full-time roles, moves to AI workers for a fraction of those roles' all-in cost. Roles that fall vacant are not refilled. Teams get smaller as people move on, with no loss of output. The owner stops covering the back office at night. At the audit we put your own figures on it: which roles, how many hours a week, what they cost today all-in, what the automated version costs.

How: the whole workflow, not one task

This is not a chatbot or a reminder. We take an entire process, from the moment work enters the business to the moment it is finished, and make it run on its own.

A customer order today: read, typed in, stock checked, invoice raised, sent, chased, payment matched, ledger updated, customer told. Four people, two days, a mistake every week. Automated: the same order is read as it arrives, entered, checked, invoiced, followed up until paid, reconciled, posted and reported, with no one touching it unless something is unusual. Minutes, not days; the same way every time; a record of every step.

A business runs on twenty or thirty such workflows: orders, vendor bills, quotations, collections, hiring paperwork, compliance filings, month-end, customer support. We map them, order them by saving, and automate them one at a time until the routine part of the business runs itself.

What stays with people

Pricing, hiring, disputes, anything with legal or financial consequence. Those reach you as a short list with everything already gathered, so the decision takes minutes instead of an afternoon.

Fix the process, then automate it

Automating a poor process only makes its mistakes faster. During the map we remove steps no one can justify, merge duplicate checks and put work in the right order. Often a third of the work disappears before any software is built.

The audit, in practice

Thirty minutes on a call. You describe one process you run every week. We ask who starts it, what comes in, what goes out, where the hours go. The same day you get a written note: what an AI worker takes over, what it does not, how many hours a week that is worth, which roles it affects, and what it takes to build. No charge, no obligation.

After the build

Nothing is left for you to maintain. We watch it run, fix what breaks, and change it as your business changes. That is what the monthly service covers.

Fewer people on routine work. The same output, every day of the year.

How the staff transition happens

Five stages, not a switch. People are replaced by AI workers one workflow at a time, as roles fall vacant and the automation proves itself.

  1. Weeks 1–2

    Audit and map

Nothing changes for staff. We record how the work actually moves and where the hours go.

  2. Weeks 3–6

    First workflow live

It runs alongside the person doing it today. They check its work; it takes over the volume.

  3. Months 2–3

    Second and third workflows

The first role that falls vacant is not refilled.

  4. Months 4–6

    Back office on AI workers

One or two people handle exceptions and decisions. Everything routine runs on its own.

  5. Months 6–12

    Routine work fully automated

The team is the people who make decisions. Support continues as the business changes.

Questions people ask

Will we need fewer staff?
Usually, yes. Most often gently: a role that falls vacant is not replaced, or someone moves from data entry to work that brings in revenue. The audit shows you which before you commit.
Do we need to change our software?
No. The AI worker is built around what you already use.
Is our data safe?
It stays in your own accounts. We connect to them; we do not copy your data into a system of ours. Access is limited to what the process needs and can be withdrawn by you at any time.
How long does it take?
A single process is usually live within two to four weeks of the audit. A full back office takes a few months, one process at a time.
What if it makes a mistake?
Every AI worker has a stop rule: anything outside its pattern goes to a person rather than being guessed. Errors are logged, reviewed and fixed at our cost.
Where do you work?
Anywhere. The tools are the same everywhere; only the rules differ, and those are part of the map.
