Email Signature Generator

Fill in your details, choose one of 4 layouts and a brand colour, then press "Copy signature" and paste it into the signature settings of Gmail, Outlook or Apple Mail. It is built from simple tables with inline styles, which email programs display consistently. Images must be online, so add your logo as a web address.

Email programs only show images that are online. Upload your logo to your website first and paste its address. Round photos show square in classic Outlook for Windows.

What makes a signature display the same everywhere

Tables and inline stylesEmail programs ignore most page styling. Layout tables with styles written on each element show the same in Gmail, Outlook and Apple Mail.
Online imagesLogos and icons load from an https:// address with a fixed width. Images pasted from your computer are dropped or turn into attachments.
Common fontsWeb fonts are not loaded by most email programs, so the signature uses fonts every computer has: Arial, Georgia, Verdana or Tahoma.
Real textName, phone and email are text, not part of an image, so they can be copied, tapped and read by screen readers.
SizeGmail allows up to 10,000 characters. The tool shows your signature's size and warns when it is close.

Add it in Gmail

  1. Press Copy signature above.
  2. In Gmail on a computer, click the Settings gear at the top right, then See all settings.
  3. On the General tab, scroll to Signature and click Create new. Give it a name.
  4. Click in the signature box and paste (Ctrl+V on Windows, Cmd+V on Mac).
  5. Under Signature defaults, choose it for new emails and for replies and forwards.
  6. Scroll to the bottom and click Save Changes.

Add it in Outlook (new Outlook and Outlook on the web)

  1. Press Copy signature above.
  2. Select the Settings gear, then Accounts, then Signatures.
  3. Select Add signature (or the + icon), enter a name and paste into the editing box.
  4. Use the boxes at the bottom to use it for new messages and for replies and forwards.
  5. Select Save.

Add it in classic Outlook for Windows

  1. Press Copy signature above.
  2. Open File, then Options, then Mail, and click Signatures…
  3. Click New, type a name and click OK.
  4. Paste into the Edit signature box.
  5. On the right, choose the signature for New messages and Replies/forwards, then click Save and OK.

If the logo looks too big or blurred in classic Outlook, set the image width in the generator to the exact size you want shown and copy again.

Add it in Apple Mail (Mac)

  1. Press Copy signature above (use Safari or Chrome).
  2. In Mail, choose Mail, then Settings, and click Signatures.
  3. Select your email account in the left column and click the Add (+) button below the middle column. Type a name.
  4. If you see Always match my default message font, untick it so your fonts and colours are kept.
  5. Click in the right column, delete the sample text and paste (Cmd+V). Close the window to save.

Why the logo must be an image web address

Your signature travels as HTML inside every email you send. When you paste an image file from your computer, Gmail and Outlook either drop it or attach it to every message, and many mail systems block images packed inside the HTML itself. An image hosted on your website loads like any web image. Upload a PNG or JPG to your site (or use the logo already on it: right-click it and choose "Copy image address"), check that the address starts with https:// and opens in a private browser window, and paste it here.

For businesses: the same signature for everyone, and the emails behind it

A consistent signature is the easy part. The bigger cost is the routine email itself: enquiries to answer, quotes to send, follow-ups to chase and replies to log in your CRM. AiStaffo sets up AI workers that draft and send these routine emails and follow-ups from your team's inboxes, and pass anything unusual to a person. Book a free automation audit to find out how much of your inbox could run itself.

Please note: the signature follows the HTML that Gmail, Outlook and Apple Mail display, as checked on 21 October 2026. Email programs change how they show HTML from time to time, so after saving it, send a test email to yourself and to someone using a different email program.

Questions people ask

How do I add an HTML email signature in Gmail?
Press "Copy signature" here, then in Gmail open Settings, See all settings, and on the General tab go to Signature, Create new, paste into the box and click Save Changes at the bottom of the page.
Why does my logo not show in Outlook?
Outlook and some company mail systems do not download online images until the reader allows it, so the reader may see the alt text first. Make sure the logo address starts with https:// and opens in a private browser window.
Why must the logo be a web address and not a file from my computer?
A signature is pasted HTML. An image pasted from your computer is either dropped or sent as an attachment with every email, and many email programs block images embedded inside the HTML. An image hosted on your website loads the same way for every reader.
Will the signature work on my phone?
Mobile mail apps keep their own signature, usually plain text. Set a short version (name, title, phone) in the app's settings; the full signature is used when you send from a computer.
Is my information saved or sent anywhere?
No. The signature is built in your browser. Your details are only remembered in this browser so you can come back and edit them; nothing is sent to us.
What size should my logo be?
Shown at 80 to 150 pixels wide is typical. Upload it at about twice the width you show it (for sharp display on high-resolution screens) and keep the file under 100 KB.
