How to reserve a WhatsApp business username and use it in your links

A WhatsApp business username is a public handle, such as @sunrise.bakery, that customers can type to start a chat with your business without knowing your phone number. You reserve it in the WhatsApp Business app under the username setting, or in WhatsApp Manager or Meta Business Suite if you use the business platform. A reservation keeps the name for your account, but nobody can see it yet. Customers can use it only after WhatsApp activates usernames in your region, and that rollout is staged. Until your account shows the username as approved and a test chat opens, keep the wa.me link built from your phone number on websites, QR codes and ads.

In short

  • A business username is a handle customers can type to reach you, but it only works for customers after activation in your region.
  • Reserve it in the WhatsApp Business app, WhatsApp Manager or Meta Business Suite, then wait for approved status.
  • Names must be 3 to 35 characters, use letters, digits, periods and underscores, include a letter, and avoid domain endings.
  • Keep the wa.me phone-number link on every channel until a test chat opens from the username.
  • A username does not hide your business phone number, so plan your printed material around that.

The direct answer

A WhatsApp business username is a unique handle that identifies your business account. A customer who knows the handle can find your business and start a chat. The customer does not need to save your phone number first. Reserving the handle costs nothing and takes a few minutes in the app or in WhatsApp Manager. The part that depends on where you operate is activation. Meta switches usernames on in stages, so the same reserved name can be live in one country and still waiting in another.

Until activation reaches your region, the old method still does the job. That method is a click-to-chat link built from your phone number. The reservation and the link are separate tasks, and the sections below explain both.

How a username differs from a phone-number link

A phone-number link and a username link start the same kind of chat, but they point to different things. The table shows the practical differences for a business owner or operations lead.

PointPhone-number link (wa.me)Business username
What it containsYour full business number in international formatA handle of 3 to 35 characters that you choose
Works nowYes, for any WhatsApp Business numberOnly after activation in your region
Customer must save your numberNoNo, once the username is active
Phone number visible on your profileYesYes, still visible on business accounts
Easy to remember or say aloudRarelyUsually, if the name is short

The key difference is memory and sharing. A phone number is hard to read on a poster. A short handle can be read out loud at a counter or printed on a card. The username does not replace the phone number inside WhatsApp. Your number still powers your account, and it still appears on the business profile.

How to reserve a business username, step by step

There are three places to reserve a name. Which one you use depends on how your business runs WhatsApp. Menu names change between app versions, so look for the words Reserve username or Create username if the labels below differ on your screen.

  1. WhatsApp Business app. Open your business profile (some versions keep it under Tools), tap Reserve username, type the name, and confirm. The app checks the name as you type it.
  2. WhatsApp Manager. Open the Phone number section, select the number you want, go to Profile, find Username, choose Create, and enter the name or pick one of the suggestions.
  3. Meta Business Suite. Open WhatsApp Accounts, select the phone number, choose Edit, find Username, click Create, and save.

Before you start, check whether your name is already held for you. Meta can hold names that match a display name, a Facebook Page or an Instagram handle. To claim one of those, link the accounts first. In the WhatsApp Business app, the linking option sits under Tools, in the Facebook and Instagram entry. After you reserve a name, it shows as reserved. Once WhatsApp turns usernames on in your region, the status moves to approved. Only then can customers see and use it.

The naming rules

Most rejected names fail on a small set of rules. Check your choice against the table before you submit it. Note that the rules are about the characters themselves, not about how the name looks on a sign.

RuleAccepted exampleRejected example
3 to 35 characterssunrise.bakerysu
Only letters, digits, periods and underscoressunrise_bakerysunrise-bakery
At least one letterbakery20262026
No period at the start or endsunrise.bakery.sunrise
No two periods in a rowsun.risesun..rise
No www at the startsunrisebakerywww.sunrise
No domain ending such as .com or .netsunrisebakerysunrise.com

Two more points matter. Capital letters do not create a separate handle, because WhatsApp ignores case when it compares names. Periods and underscores do count, though. The handle myid and my_id are different names, and so are my.id and myid. Each phone number can hold only one username, and no two WhatsApp numbers can share the same handle, so a name that is free today can be taken tomorrow.

Why activation depends on your region

Reserving and activating are two separate steps. Reservations opened in late June 2026. Third-party trackers report that the first activation wave went live in July 2026 in a small group of countries, including Algeria, Azerbaijan, Ghana, Libya and Nepal, with a wider wave following through the rest of the year. These dates come from independent reporting and not from a WhatsApp statement, so check your own account rather than a calendar. Infobip's developer documentation says the rollout is gradual across regions and that Meta manages the timeline, which can change.

Two limits apply in every region. First, WhatsApp has no directory of usernames, so a customer must know the exact handle. A name that exists only in your head will not bring anyone in. Second, a business username does not hide your business phone number. The username is an extra way to be found, not a privacy switch for a company. Plan your printed material around both facts.

What to change on websites, QR codes and ads

The safe approach is to change nothing that is working until the username is approved in your region and a test chat opens from a phone that does not have your number saved. The table lists each channel and what to do at each stage.

ChannelBefore activationAfter activation in your region
Website chat buttonKeep the wa.me link built from your phone numberTest the username route first, then add the handle as text beside the button
Printed QR codeKeep the phone-number code on posters, menus and packagingReprint only after a test scan opens the chat, and keep the old code in circulation until stock runs out
Click-to-WhatsApp adsKeep the ad destination as it isChange the wording first, then check the destination in a test ad before you switch
Email signature and social biosKeep the phone-number linkAdd the handle as plain text next to the link
Google Business ProfileKeep a correctly formatted wa.me linkLeave the link in place and add the handle to the description if the profile allows it

No source reviewed for this page confirms a username-based link format. Check WhatsApp's business help pages before you print any new link. Ads need one more check. The developer documentation from 360dialog notes that conversations started from ads by users who have adopted a username require the system to handle a Business-Scoped User ID instead of a phone number. If your ad reports match leads by phone number, confirm with your ad or CRM provider that the match still works before you change the destination.

What to keep as a fallback

Keep the phone-number link. It works today, it does not depend on a rollout date, and it stays useful even after the username goes live, because your number remains visible on the business profile and remains required for the account. Build the link with the number in international format, without a plus sign, leading zeros, spaces, brackets or dashes. Add a pre-filled message after a question mark if you want the first line filled in. A pre-filled message uses the text parameter, with spaces written as %20. Test each link on a phone and on WhatsApp Web before you print it. You can build and test the link with the free calculator on this page.

A worked example with made-up numbers

The example below uses invented details only to show the steps. Suppose a bakery in Accra has the business number +233 20 123 4567. Its phone-number link is built like this: remove the plus sign and the leading zero if one appears, then join the digits. The result is 233201234567, so the link is https://wa.me/233201234567. A pre-filled message for a cake order would add ?text= and then the message with spaces written as %20.

The owner wants the handle @sunrise.bakery. The name passes the rules. It is 14 characters long, it uses letters and a period, it has no period at the ends, and it has no domain ending. The owner reserves it in the WhatsApp Business app and sees the status as reserved. The owner then waits. Once the account shows approved, a staff member scans the posters from a phone that has no record of the bakery, checks that the chat opens, and only then adds the handle beside the QR code. The phone-number link stays on the website and on the till cards. The owner keeps the old posters in use until they are used up. The example shows the order of steps, not any result.

Cases that change the answer

  • Business app or business platform. A business on the Business app reserves in the app. A business that sends messages through an API provider usually reserves in WhatsApp Manager or Meta Business Suite, and the provider may handle parts of the setup.
  • Region not yet activated. The reservation stays in reserved status. Keep the phone-number link in all channels until your status changes.
  • Name already held. A name that matches an existing account or a public figure can be unavailable. Try a close variant, or link your Facebook Page or Instagram account first if the name is yours.
  • Several numbers or several brands. Each number holds one username, so a group with several sales lines needs one name per line, chosen in advance.
  • Integrations. If your CRM or chatbot stores the customer's phone number, check how it handles messages where the phone number is missing. The developer documentation from Infobip notes that the phone number may be left out of the message data when a user has adopted a username and has no recent chat with the business.

Common mistakes

The most common mistake is printing the new handle before activation. A customer who scans or types it sees nothing, and the poster looks broken. Reserve first, then print only after the status shows approved and a test chat opens.

The second mistake is believing that a reservation hides the business number. It does not. Business accounts keep the phone number visible, and the username works alongside it. Tell staff this so that they do not promise customers a private channel.

The third mistake is choosing a name with a domain ending or a second period. Many owners type sunrise.com, or add a double period by accident. The rule check catches these before submission, so run the table above first. The fourth mistake is removing the phone-number link from the website because the handle looks cleaner. Keep both until you have tested the handle in your region.

The fifth mistake is changing the CRM too early. If your system matches every WhatsApp conversation to a phone number, a message from a customer who uses a username may arrive without that number. Test the flow with a staff account before the change reaches live customers.

What to check with your provider, IT team or an adviser

If you use a WhatsApp provider or an API, ask the provider which reservation route it uses and when it expects the status to change in your countries. If the name matches an existing brand, ask a trademark adviser in your country whether the name is clear for your use before you print it on signs. Ask your IT or CRM team to test how missing phone numbers are stored and matched, and to confirm that ad reports still count leads correctly. Keep a single written list of what changed and when, so the team knows which links are old and which are new.

How employers take routine work off staff

Many businesses keep a small group of people checking links, logging enquiries, updating channel lists and chasing routine HR and payroll documents. That work is repetitive and easy to forget. AI workers can take the repeat steps: confirming that each published link still opens a chat, filing enquiries that arrive on WhatsApp into the right record, and preparing the list of pages to update when a handle goes live. A person still approves each change and checks the final wording.

How AiStaffo would automate this

AiStaffo would connect your WhatsApp Business account, your website and your channel list, so the AI worker can check on a fixed schedule that each phone-number link and each handle still opens a chat. When your status moves from reserved to approved, the worker prepares a list of pages, QR files and ad destinations that could be updated, with the old and new link side by side. Your team still runs the test chat from a phone without your number saved, and a person approves every change before it goes live. The worker also files WhatsApp enquiries into the correct record and flags any message that arrives without a phone number, so your team can review it. Questions people ask

Can I reserve a WhatsApp business username now?
Yes. Reservations opened in late June 2026, and you can reserve through the WhatsApp Business app, WhatsApp Manager or Meta Business Suite. A reservation does not make the name visible to customers. Visibility depends on WhatsApp activating usernames in your region.
Will customers see my username once I reserve it?
Not necessarily. Reserved usernames stay hidden until they become active. WhatsApp moves them to approved status when usernames go live in your region, and that timing is set by Meta.
Does a business username hide my phone number?
No. Business accounts keep the phone number visible on the profile. The username is an additional handle that customers can use to find you. Your number still powers the account.
Should I replace my wa.me link with the username?
Not yet. Keep the phone-number link until your region is active and a test chat opens from a phone without your number saved. The phone-number link works today and stays useful as a fallback.
What makes a WhatsApp username get rejected?
Common causes are a length under 3 or over 35 characters, a hyphen or other symbol, a name with no letters, a domain ending such as .com, or two periods in a row. Names are also unique, so a handle already held by another account cannot be used.
Does WhatsApp have a directory where customers can search for my handle?
No. WhatsApp has no directory of usernames to browse, so a customer must know the exact handle. Print the handle on your materials and in your email signature, and tell staff to say it clearly.
