How to automate it step by step
Prepare the records first
Automation cannot reliably match items if your purchase orders use one name and your stock records use another. Start by standardising supplier names, item codes, units of measure and warehouse names. Decide how to handle common variations, such as a supplier’s product description differing from your SKU. Allow for legitimate partial deliveries, but flag over-deliveries, unexpected items, unit mismatches and closed or missing purchase orders. Do not use a broad text match alone: two products can have similar names but different sizes, grades or packaging.

- Wrong units or packaging: Define conversions only where the business has confirmed them. A carton and an individual unit are not interchangeable without a known pack size.
- Wrong warehouse or batch: Require a destination warehouse and, for tracked goods, capture batch, serial or expiry details. Do not infer these from an unrelated field.
